What is a Virtual Office?

A Virtual Office is essentially an office mailing address.  Very useful if you need a bricks and mortar presence while you’re on the move or wanting an office address in several cities. Additional “real world” services may include managed office space for rent, meeting rooms, a reception and/or telephone call answering. 

Strictly regulated by HMRC a Virtual Office is rarely inexpensive.  Virtual Reception and Virtual Telephony may be offered … but see the traps and tripwires mentioned below.

Using a Virtual Office -Traps and Tripwires

HMRC money laundering regulations mean that you have to have your paperwork in order – proof of ID, proof of residence, company registration details etc.  If you aren’t asked for these forms of ID you are probably dealing with an unlicensed operator who could be forced to close their doors at any time.

As with most business contracts the devil is in the detail, so look out for long notice periods, additional charges, minimum charges etc.

If the telephone call answering is being provided by an in-house receptionist what happens when he/she goes to lunch or has a day off?  You may well be better off using a specialist Virtual PA or Virtual Reception provider.

Quite a few providers will offer you a “landline” telephone number.  Again check the detail, who is it renting the phone number, you or a 3rd party.  Make sure that if you are using a telephone number on your business card and publicity that telephone number can stay with you long term, whether you are using the Virtual Office or not.
